What Type of Phone System Should I Have?

There are SO many choices out there regarding what type of phone system a particular business should have. Do you want extensions? A call queue? Virtual receptionist? Answering service? We’ve done some in depth reporting and figured out what a majority of potential customers like to hear when they call a company. Here are the top three things people respond to when contacting a company:
1. Getting a hold of a representative quickly.
You, yourself, have probably been in this situation a number of times: You call a company and end up going on an endless journey of extensions and recordings until you break the ‘0’ on your keypad trying to get through to someone to TALK TO.
We all call a place for a reason, right? If we didn’t mind waiting to get an answer to our questions/concerns we would send an email. The bottom line is that when someone calls your business, they want to get through to you without a hassle. Most people prefer to call and get through immediately without having to press an extension.
2. Reliability
Here today, gone tomorrow! Whether you’re calling a company, using their website, or going in to a store… We all want reliability in the companies we do business with.
You’ve had a long day and you decide to get dinner. It’s a little late but the place you want to go is open until 9pm and you can surely get there by 8:30pm. So you go out of your way to do something nice for yourself and end up arriving at 8:35pm and see the employees cleaning up but, of course, go in any way to which they sweetly reply, “I’m sorry but we’re closed.” Or, a small time store shuts their doors to go and run an errand right when you need to go in. Worse off is trying to call a company and their phone number is out of service at odd times or the connection is just bad. It doesn’t mean it’s their fault, it could just mean they got a shoddy service provider.
3. Ease of Use
How easy is it to navigate a company’s phone system? Is there construction going on outside their store front? What’s the parking situation?
Whether we’re talking about customers calling you, visiting your store, or webpage, one thing is very important: Ease of use! Customers are paying you for a reason. If you make it hard on them, they will go somewhere else. Make sure your website is concise and to the point. Don’t have a lot of extra links or pages that aren’t used just lying around. Phone-wise, if you do have a phone system, make it simple. Don’t have twenty extensions or super long recorded messages to listen to. Get to the point so you can do what you do best!
